When visiting teams play on the SASA fields, the impression they get of SASA is based on the quality of the complex which includes the fields, the concession, the parking and even the restrooms. SASA Site Coordinators are used to ensure we present the very best side of SASA to all visitors and players. A considerable amount of time and money has gone into the development of a top quality facility and it can only be maintained through the use of volunteers, Site Coordinators and dedicated individuals. As such, you, the SASA Site Coordinator are a very important part of SASA and we hope you take your responsibilities seriously and professionally. The SASA Board of Directors wishes that everyone playing on our fields has an enjoyable time and that the fields and facilities reflect the top quality for which SASA stands. A single SASA Site Coordinator that does not take their responsibilities seriously could be an embarrassment for all of us.

A SASA Site Coordinator is assigned SASA fields on specific weekends by their League scheduler. These are "home" games for the SASA teams and as such they are responsible for ensuring that everything is ready for the league games.

The SASA Site Coordinator is responsible for ensuring the SASA fields are ready for play on the assigned game days and times, that the scheduled teams will be present and that referees have been scheduled for each of the games. In addition, the SASA Site Coordinator is responsible for turning in the game scores to the league.

The following duties can be performed by the SASA Site Coordinator or through the use of team volunteers but the ultimate responsibility remains with the Site Coordinator.

On Wednesday prior to the games, the Site Coordinator should:

1. Contact each of the coaches for the games the coordinator is responsible and ensure the games will be played as scheduled.
2. Contact the referee assignor and ensure three referees have been assigned to each of the scheduled games.
3. Contact the "Concession" committee to ensure team volunteers for concessions have been assigned and to ensure the restrooms will be open for the teams and families.
4. If for any reason the fields are unplayable, or become unplayable before the scheduled games, the Site Coordinator must call and notify all the teams involved, the referee assignor and the "Concession" committee and inform them of the cancelled games. The primary reasons for canceling games is extreme wet field conditions which would present an unsafe condition for the players or great harm to the quality of the fields. Snow would be another condition for which the fields would be unplayable. These conditions are usually determinable several days prior to game day.

On Friday or Saturday prior to the assigned games, the coordinator should:

1. Schedule someone to mow and line the assigned fields. This has to be coordinated through the "Grounds" committee to ensure the Site Coordinator’s volunteers are adequately trained with the equipment and to ensure someone will be present to "unlock" the SASA facility.
2. Ensure goal nets are in place and in good condition without any holes. If holes are found, the coordinator must mend the nets. (Yes I know there are hundreds of holes in a soccer net but you know what I mean!!!!!)

On game day, the SASA Site Coordinator should:

1. Plan to arrive at the fields at least one hour prior to the arrival of the teams to perform these duties.
2. Set out the corner flags on each of the assigned fields.
3. Set out trash cans on each sideline of each assigned field. On game day, if inclement weather is present, the Site Coordinator
4. Is responsible for the decision to postpone a game or to cancel the game. The general rule of thumb for lightning is that if lightning is seen or heard, the game is to be stopped immediately and everyone instructed to move to shelter. The game may not be restarted any earlier than 15 minutes AFTER the last lightning is seen or thunder is heard. The game should be restarted according to the referee’s direction.

On game day after the last match, the SASA Site Coordinator is responsible for:

1. Obtaining the scores for each of the assigned games. These scores need to be turned in to the League Registrar on Monday following the games.
2. Taking down the corner flags on all the assigned fields,
3. Picking up all the trash left behind on the assigned fields,
4. Dumping the trash cans from the assigned fields in the dumpster behind the SASA concession.
5. Ensuring the restrooms are cleaned and that any problems with the restrooms are promptly reported to the "Concession" committee.
